Be a part of history when you rent our ballroom to create your one-of-a-kind event in the space where famous musicians and speakers have performed since the early 1900s. Guests can enter through our hand-crafted, 14ft oak doors or use our fully accessible ballroom entrance. Need a spot for a photoshoot? Try our majestic black walnut staircase, designed by regional architect Isaac G. Perry.

Any requests for rentals needs to be made at least two weeks in advance. Given the need to accommodate the museum’s programming schedule, we request you provide an alternative date for your event if possible.

No events can take place inside the mansion at this time. They are currently limited to the ballroom only.

Capacity: 120 people

Children 16 and under require adult supervision while in the mansion and ballroom.

Equipment

Our ballroom rental comes with a variety of equipment you can utilize to make your event the best it can be. This includes:

  • 120 chairs
  • 20 round tables (seats up to 8)
  • Raised performance stage
  • Speaker’s podium
  • Projector with screen (compatible with any laptop)
  • Sound system (microphone available)
  • Grand piano (piano tuning available for additional cost)
  • Full commercial kitchen
  • Large bar area with sinks and staging
  • Handicap accessible entrance and bathrooms
  • Ample on-site parking

Photography Sessions

Casual Use Photography 

Fees: $75 per hour between 11am and 4pm $100 per hour after 4pm
Casual use photography is that of visitors taking candid photos with non-professional equipment. Photos are exchanged freely, and no money changes hands for this type of photographic session.  This type of photography is welcomed and encouraged within posted guidelines, including: No flash photography is allowed in the historic Phelps Mansion. Visitors are welcome to take photos for personal use. This can include DSLR or SLR “professional” cameras, so long as there is no additional equipment such as multiple lenses, large photography bags or a tripod. Such equipment may interfere with the experience of other visitors. Media requests do not need to use the commercial photography request process. They will work directly with the rentals coordinator to coordinate any needs, and a staff member will accompany all media while on the property. Those renting a space for an event, such as a wedding or meeting, do not need to use the formal or commercial photography request process.


Formal Photography 

  • Fees: $150 per 1.5 hours
  • Formal photography is a contracted service between a photographer and an individual posing for senior, family, or individual portraits. The client pays for the services of the photographer, and the photographer uses the Phelps Mansion Museum as a background, thereby constituting a commercial use of the property, which requires a certificate of insurance and a signed contract.

Commercial Videography (filming)
Commercial videography is a contracted service between a videographer and an advertising agency or corporate client. This also constitutes a commercial use of the property, which requires a certificate of insurance. Commercial videography follows rental procedures and is processed differently.   • Approved portrait, formal photography, and commercial videography requests at the Phelps Mansion Museum will only grant access to public areas of the museum. 
  • Payment for formal and commercial videography will be determined based on date, duration, location and staff involvement. At the time of shoot approval, a call will be set up to collect payment. Rates will vary based on amount of time, location and additional needs for the shoot.
  • All commercial videography requests must be submitted at least two (2) weeks in advance of the requested shoot date and must include the signed contract and certificate of insurance. A museum staff member will then be in touch to arrange payment and timing.

List of Fees

Bar/Service: $20/hour (non-alcoholic drinks only) – If alcohol is served whoever holds the liquor license is required to provide a bartender.

Open Mansion for guests:  additional fee of $100/hour – Agreed upon times the house would be open for guests.

Over 50 people:  Additional staff needed at $20/hour – Required 3 staff. Staff must be paid prior to event starting.

Over 100 people: Security needs to be hired at $50/hour.

*All events receive 1 hour for set-up and 1 hour for cleanup. Any additional time for setup or cleanup the fee is $100/hour, this must be approved *by our rental coordinator. *
